US Title Search Overview

All Airplanes, Helicopters, Engines capable of generating 550 (or more) Shaft Horsepower, Propellers capable of absorbing 750 (or more) Shaft Horsepower and Spare Parts Locations (for air carriers) should be researched.

A quick word about why the US Research Report is separated from the IR Research Report.

We can determine if something new has been recently added to the FAA records without incurring additional costs making it easy to bring US reports up to date immediately before a closing; however, the only way to confirm nothing new has been entered at the IR is to pull a new search certificate for which a fee is incurred; therefore in closing and escrow situations when the Seller is confident that there are no interests registered, the IR report is delayed until a day or two before closing to minimize the Gap time between the IR report and the Closing. Also by separating the reports, customers who object to the IR may refuse those reports. If you would prefer a ‘combination US/IR Research Report, please let us know, as it is possible for us to combine the reports into a single report if you prefer.

What a Title Research Report includes

When you order a Title Research Report from Dixie Aire Title Service, Inc., the aircraft record is ordered from the FAA and a review of the entire history of the aircraft is performed, carefully checking those documents for accuracy. Once we complete our research a report is prepared providing you with the following details:

1. The description of the aircraft, Engine or Propeller as it appears on file with the FAA

2. If there are discrepancies in the description of the aircraft versus the information shown in the Airworthiness Section of the Aircraft Record; those discrepancies will be brought to your attention.

3. The Current registered owner (or if the aircraft has been de-registered, the last registered or purported owner*

4. The address of that owner*

5. The type of registration (Corporation, Individual, Co-owner, Partnership etc.)*

6. The date the aircraft was purchased *

7. When the registration will expire, if not properly renewed. *

8. Signature requirement information for the current owner.*

9. If there are any discrepancies in the chain of ownership or inaccuracies in the ownership documents, that information will be reported to you. *

*Aircraft only, FAA does not maintain ownership records for Engines, Propellers or Spare Parts Locations

10. Any Liens or Encumbrances which have not been released

11. Any Liens or Encumbrances which may have been released; but, the releases or terminations appear to fall short of FAA recording requirements or known legal requirements.

12. It is also our custom, if we report an open Lien or Encumbrance to perform an additional check of the FAA’s Ancillary files to determine if FAA has record of newer names for the Lender or Lien-holder. Due to the way the FAA’s ancillary file system is set up, it is not always possible to provide this information as sometimes there are simply too many ‘new’ names to make a determination.

Information to have when you contact us for a Title Research Report

1. The registration number, make, model and serial number of the airframe.

2. If engines or propellers are involved (which generate 550 s. h. p. or more), you will need their make, model and serial number(s) as they have separate records. Separate reports and costs will be generated.

3. Tell us how you would like the information forwarded to you (i.e. fax, e-mail or courier).

4. If it will help your bookkeeper, we will be happy to insert a reference (i.e. your customer’s name or client/matter number) on the report.

5. Prepayment information, Discover, Master-card or Visa are accepted. You may also request wiring instructions to wire your payment.

Standard Filing Service

You forward your documents to be filed in the ordinary course of business (no restrictions to them being filed). Documents are received, reviewed, and, if they appear to meet FAA recording requirements, are filed with the FAA. If a problem is discovered, we will contact you regarding needed corrections. A Confirmation of Filing is sent by e-mail and a Recording Confirmation is forwarded by regular mail with your original documents upon completion of processing by the FAA and review of the updated record.

Import or Export Filings

In addition to the Standard Filing Service, Import and Export documents require additional correspondence and monitoring to expedite your registration or de-registration. These types of registrations are normally completed within 1 to 5 business days and the charges are slightly more.

Special Options (Notification of Filing time will incur an additional fee if requested in conjunction with a Standard Filing; however, that option is included automatically with ‘Closings’ and ‘Escrows’):

• Notification of Filing Time.

• Temporary Certificates-(A faxable document, which allows Designated Airworthiness Representatives/FAA Inspectors to complete their Import Inspections and allows aircraft to operate internationally until the actual Certificate of Registration is received.)

• Pre-approval of Trust Documents by FAA Legal –A cover letter is prepared by Dixie Aire to the Aeronautical Center Counsel outlining the documents to be submitted in support of registration involving a Trustee with an explanation as to what Federal Aviation Regulations we think the registration would be in compliance with and why. The cover letter and photocopies of documents (or drafts of the documents) anticipated to be submitted to the Registry are hand delivered to the Aeronautical Center Counsel for review and an opinion letter confirming the eligibility of the party to register.

Document Closing Process

All parties to the transaction forward their documents to Dixie Aire Title Services, Inc. After a preliminary review to determine if they meet FAA recording requirements, the documents are held to be filed only upon proper authorization. The FAA index is monitored while the documents are being held (for comparison against a preliminary report). If the FAA receives new documents, we immediately notify the parties. Upon proper authorization, the parties are notified of exact filing time.

Special Registration Numbers

Dixie Aire can assist you in obtaining a personalized registration number for your aircraft. We will research your preferences, have the number reserved on your behalf and request assignment (authorization to paint the number) to your aircraft.

FAA allows a maximum of 5 characters (only 2 may be letters).

If letters are used, they must be placed at the end of the registration number.

FAA does not allow the use of the letters “O” or “I.”

All U.S. Registration numbers begin with the designation “N” unless specific requirements are met to display “NC” (antique aircraft only).
